D83 e-mail information you really want to know!

Your D83 e-mail account is provided by Mannheim School District 83 as a privilege to enhance the ease of communication and file movement within our district community.Check your e-mail account twice a day (in the morning upon arrival and before you leave). By logging in and using your D83 e-mail account, you are agreeing to all the terms and conditions of Mannheim District 83’s Acceptable Use Policy, you understand that you are personally responsible for your actions, and you accept the consequences and penalties for your actions.

All e-mails that reside on district servers are not confidential. E-mail is neither secure nor private. All e-mail can be read at any point along its journey. The district reserves the right to review all electronic correspondence that uses district systems and facilities. Did you know that e-mail messages in Illinois may be requested by the public under the Illinois Freedom of Information Act? The Act can be found at http://www.ag.state.il.us/government/foia_illinois.html.

Right now, the district e-mail server blocks thousands of e-mails per day. A lot of these messages were sent to D83 addresses due to e-mail viruses harvesting address books, but a lot of them are clearly sent here because staff members use their D83 e-mail address to register purchased products, and/or fill in advertisements. You should guard your e-mail address closely.

Junk mail filters can intercept a lot of information, like banking memos, travel plans, wedding plans, personal photo albums, radio station contests, AARP, real estate information…the list goes on and on. Many of these e-mails are immediately deleted…they will not reach your mailbox. Please use your personal e-mail account for these types of e-mail messages to ensure that they are delivered to your mailbox!

If everybody applies these practices, our e-mail server will be more efficient and responsive for all of us. Spread the word. We are all in this together. Clutter. Get rid of it. Try these tips to streamline your inbox:

• Delete e-mail messages you won't use as soon as you get them.
• Empty the trash. This is one of those “Life Rules” that just makes sense.
• Manage your sent-mail folder. If you automatically save copies of sent messages, remember to delete ones you don't need. E-mail conversations frequently include your original message. Think about it—do you really need to save the same content multiple times?
• If you attach photos to e-mail messages, please make sure they are compressed. Any huge files sent to “allstaff” or a school’s staff slow down the whole network.
• Create and use folders. You can use folders to sort and store information you want to keep. This not only helps organize your information so you can find things more quickly, it helps your inbox stay at a manageable size.
• If you are in the habit of leaving a large number of e-mail messages in your inbox folder, consider creating a “Pending folder” and dragging the messages in there until you have time to file them in properly named folders.
• Download attachments. E-mail attachments take up a lot of space. It's a good idea to save attachments to your computer, and then remember to delete the message from your inbox.
• Don’t open up e-mails from unknown senders. Place these e-mail messages in the public junk folder within your e-mail account. Our system will “learn” to block future e-mails from this sender. If you do not have a junk folder, let our tech team know. Do not open the junk folder. It is a district wide junk folder, not only yours.


If you use e-mail to correspond with parents and/or students, remember to save all the messages in an e-mail folder labeled accordingly. E-mail should never be used to discuss contentious, emotional or highly confidential issues. These issues should be dealt with face-to-face or by phone. E-mail messages to parents should be consistent with professional practices for other correspondence… including grammar, format and salutation.
